- Vehicle details (year, make, model, mileage, and supporting photographs)
- Photos and documentation submitted as part of your application
- Email addresses collected through newsletter signup forms
We also collect certain usage data automatically when you visit our website, including pages viewed, time spent, referring URLs, browser type, and general geographic location (city/region level). This data is collected via analytics software and does not identify you personally.
How We Use Your Information
The information we collect is used solely for the following purposes:
- Reviewing and processing your application for event participation
- Communicating with you about your application status, acceptance, or waitlist position
- Sending event updates, logistics information, and route details to confirmed participants
- Sending newsletter communications to subscribers who have opted in (you may unsubscribe at any time)
- Improving the functionality and content of our website based on aggregate usage patterns
- Processing registration payments securely through our payment processor, Stripe
We will not use your information for purposes beyond those listed above without first obtaining your explicit consent.
Information Sharing
We do not sell, rent, or trade your personal information to third parties. We share data only with the following service providers, and only to the extent necessary to operate the event:
- Convex — for secure application data storage, file uploads, and subscriber infrastructure.
- Google Analytics 4 — for aggregated, anonymized website analytics so we can understand traffic and improve the visitor journey.
- Stripe — for secure payment processing if online registration payments are enabled in the future. We do not currently process participant payments through this website.
All third-party service providers are contractually bound to handle your data in accordance with applicable privacy laws and are prohibited from using your information for any purpose other than providing services to us.
Data Security
We take reasonable technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. All data is encrypted both at rest and in transit using industry-standard protocols (TLS 1.2+).
This website does not currently collect or process registration payments directly. If online payments are enabled later, payment data will be handled directly by Stripe and we will retain only the transaction references required for reconciliation.
Your Rights (CCPA)
If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA):
- Right to Know — You may request a copy of the personal information we have collected about you, including its categories, sources, and purposes.
- Right to Delete — You may request deletion of personal information we hold about you, subject to certain legal exceptions.
- Right to Opt-Out — You have the right to opt out of the sale of personal information. We do not sell personal information.
- Right to Non-Discrimination: we will not discriminate against you for exercising any of your CCPA rights.

Cookies & Analytics
We use Google Analytics 4 to understand how visitors interact with our website. Google Analytics collects anonymized usage data including page views, session duration, and navigation paths. IP addresses are anonymized before storage.
We do not use advertising cookies, tracking pixels, or behavioral retargeting technologies. We do not participate in cross-site tracking networks.
You may opt out of Google Analytics tracking at any time by installing the Google Analytics Opt-out Browser Add-on.
Data Retention
We retain personal information only as long as necessary to fulfill the purposes for which it was collected:
- Application data (including vehicle details and submitted photos) is retained for the duration of event operations and up to 12 months afterward for record-keeping purposes.
- Participant data for confirmed registrations is retained for up to 3 years for tax, accounting, and legal compliance purposes.
- Newsletter subscriber data is retained until you unsubscribe. Each future newsletter campaign will include unsubscribe instructions, and you may also request removal directly at /unsubscribe.
- Anonymized analytics data may be retained indefinitely as it cannot be traced back to an individual.
